Privacy Policy

1. Who we are
HR Help Ontario (“HR Help”, “we”, “us”, or “our”) operates the website hr-help.ca and the AI HR Assistant available on this site. We provide general HR information and guidance to Ontario workers.
2. Information we collect
We may collect the following types of information:
- Account information — name and email address when you create an account.
- Chat content — messages you submit to the AI HR Assistant, which we send to our AI provider to generate a response and do not store on our servers (see Section 4).
- Usage data — pages visited, features used, and session duration collected automatically via cookies and similar technologies.
- Booking information — name, email, and details you provide when booking a consultation.
3. How we use your information
- To operate and improve the site and the AI Assistant.
- To fulfil consultation bookings and communicate with you about them.
- To analyse usage patterns and improve our content.
- To comply with legal obligations.
We do not sell or rent your personal information to third parties.
4. AI Assistant conversations
Conversations with the AI HR Assistant are sent to our third-party AI provider, OpenAI, to generate responses. Under OpenAI’s API terms, your conversations are not used to train OpenAI’s models. OpenAI may retain them for up to 30 days for abuse monitoring and then deletes them, subject to applicable legal requirements. We do not store your conversations on our own servers; any saved chat history stays in your own browser (see Section 6). HR Help remains responsible for the information you provide and uses OpenAI solely as a processor acting on our behalf.
Please do not include sensitive personal identifiers (such as your Social Insurance Number or financial account numbers) in your messages.
Because OpenAI and certain of our other service providers operate outside Canada, your information may be processed in jurisdictions including the United States, where it may be subject to access by foreign authorities under the laws of those jurisdictions.
5. Cookies
We use cookies that are strictly necessary to operate the site (authentication, session management) and analytics cookies to understand how visitors use our content. You may disable non-essential cookies in your browser settings at any time; doing so will not affect your ability to use the core features of the Site.
6. Data retention
We retain account data (such as your name and email) for as long as your account is active, and delete it on request. Your AI Assistant chat history is stored locally in your own browser — not on our servers — so it remains on your device, and you can delete it yourself at any time using the delete option in the chat or by clearing your browser storage. Booking information is retained only as long as needed to provide the consultation and to meet our record-keeping obligations.
7. Your rights (PIPEDA)
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to access, correct, or request deletion of your personal information. To exercise these rights, contact us at the address below.
8. Third-party services
We rely on the following third-party service providers, each of which processes a limited subset of your information for the purpose indicated:
- Clerk — account creation and authentication.
- Cal.com — consultation scheduling.
- Stripe — payment processing for paid consultations. We do not store full payment-card details; these are handled directly by Stripe.
- OpenAI — generating AI Assistant responses (see Section 4).
Each of these providers maintains its own privacy policy governing its handling of your information, and we encourage you to review them. Some of these providers are located outside Canada (see Section 4).
9. Data security and breach notification
We take reasonable technical and organisational measures to protect your personal information against loss, theft, and unauthorised access. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. In the event of a breach of security safeguards that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required under PIPEDA.
10. Children
The Site and our services are intended for individuals who are 18 years of age or older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated by updating the “Last updated” date above and, where appropriate, notifying you by email.
